Executive Assistant to the Board
Objective of the role
The Executive Assistant to the Board will provide high-level, confidential support to Raidiam’s Board, making sure board business runs smoothly and that directors have what they need, when they need it. With customers and stakeholders across Brazil, the UAE, Australia, New Zealand and the UK, the role calls for someone who is comfortable working across several time zones and who can adapt their working day to match.
Working closely with the founders and executive team, the postholder will be the central point of contact for board matters, coordinating meetings, papers, travel and events, and acting as a trusted link between the Board and colleagues across the business. In practice, this means anticipating needs, keeping a clear view of priorities, improving how the executive function works, and handling highly sensitive information with complete discretion.
Location and working pattern
The role suits someone within commuting distance of London, with regular travel into London and occasional travel elsewhere to support board meetings and events. We are open to flexible working, including an early-shift pattern to support colleagues in other time zones, and in return we ask for some flexibility when board business requires it.
Key responsibilities
Manage complex diaries for Board members, coordinating meetings across multiple time zones and resolving scheduling conflicts.
Coordinate board and committee meetings from start to finish, including agendas, collating and circulating board papers, minutes and tracking actions through to completion.
Act as the first point of contact for the Board, handling correspondence, calls and enquiries with professionalism and discretion.
Handle highly confidential and commercially sensitive information, keeping secure records and following information-handling procedures at all times.
Organise domestic and international travel, including itineraries, accommodation and expenses.
Support the planning and running of board events, offsites, dinners and stakeholder meetings, attending in person when needed.
Prepare briefing packs, presentations and reports so that directors are well prepared for meetings.
Build strong working relationships with the executive team, colleagues and external stakeholders, including investors, advisers and clients.
Identify and introduce improvements to processes and tools that make the Board and executive function more effective.
Comply with Raidiam’s Corporate Policies and Procedures.
Comply with Raidiam’s Information Security Policies and Procedures.
Complete any other tasks and/or duties you may be instructed to carry out from time to time.
